SMS Notifications
OneSiteKit can send SMS text messages to subscribed users for approvals, alerts, and account events, using your organization's verified toll-free number.
How it works
SMS notifications are sent alongside email for the same events. Each subscriber controls their own SMS opt-in and can choose when messages are delivered.
Outbound messages always include Reply STOP to opt out in compliance with carrier requirements. Replies to the number are not monitored.
Enabling SMS for a subscriber
SMS is per-user and per-notification list. Only the subscriber themselves can opt in — admins cannot enable it on behalf of another user.
Requirements before opting in:
- A phone number must be saved on your user profile
- You must be a registered user (not a guest)
- Your organization must have SMS configured (toll-free number verified)
To opt in:
- Open Organization → Notification Settings (admin menu)
- Find the notification list you want to subscribe to
- Check the SMS Opt-in checkbox on your own row
- Choose a delivery schedule in the modal that appears
Delivery schedules
| Schedule | When messages are sent |
|---|---|
| Always | Any time of day, any day |
| Mon–Thu | Weekdays only (Monday through Thursday) |
Events that trigger SMS
| Event | Who receives it |
|---|---|
| New user registration submitted | Access Approval subscribers |
| Registration approved | The registering user |
| Registration denied | The registering user |
| Asset sign-out pending approval | Access Approval subscribers |
| Asset return request | Access Approval subscribers |
| Portal access request | Access Approval subscribers |
| Environmental threshold — urgent | Environment Urgent subscribers |
| Account recovery code | The account holder only |
SMS opt-in on registration
Users can opt in to SMS at registration time by checking the SMS Notifications checkbox on the sign-up form. Doing so pre-enables SMS for that user once their account is approved — they still need a phone number on their profile.
Viewing opt-in counts (admins)
The gear panel in Notification Settings shows the current SMS opt-in count for each list alongside the email count. This gives admins a quick read on notification reach without viewing individual subscriber details.
Opting out
Uncheck SMS Opt-in on your subscriber row at any time. You can also reply STOP to any message to unsubscribe at the carrier level — this removes you from all SMS sends for the organization.
TIP
SMS notifications require a phone number on your profile. To add one, open the gear icon ⚙ and edit your profile.
